Never miss another call
AI Receptionist & Voice Assistant
A missed call is a missed customer. An AI receptionist answers on the first ring - at 2 a.m., during the lunch rush, and while every one of your people is already on another line - talks like a person, and actually finishes the job: books the appointment, answers the question, or hands the caller to the right human with the context already gathered.
It is not a separate service bolted on beside your phones. The assistant registers on your phone system as a real extension and joins your call queues like any other agent, so callers reach it through the routing you already have - and when it cannot take a call, the system falls back to your normal path without the caller noticing.
We build ours on your business, not a generic script. Your hours, services, locations, staff directory, scheduling system, and documents become what it knows, so it answers like someone who works there instead of like a phone tree. Where the conversation touches protected information, we can run it on private AI infrastructure we own and operate.

On the call
Answers on the first ring, 24/7
It joins your call queues as an agent, so it picks up only where you want it to - after hours, at the lunch rush, or when every human line is already busy.
Holds a real conversation
Speech streams both ways live, so callers interrupt, change their mind, and ramble the way people do. It is a conversation, not a "press 1 for" tree with a nicer voice.
Knows who is calling before it answers
The number is looked up in your CRM or scheduling system while the call is still ringing, so the greeting already knows whether this is a new caller or an open job.
Answers from your own information
Hours, locations, services, pricing rules, insurance accepted, order and job status - grounded in your documents and systems, so it answers like someone who works there.
Books and reschedules appointments
It reads real availability from your scheduling system, books the slot, and texts the confirmation - then moves it when the caller needs a different day.
Takes messages worth reading
Name, callback number, reason, urgency - captured as structured data and delivered where you already work: email, text, Microsoft Teams, or your ticketing system.
Transfers to a human properly
A real transfer to a person, ring group, or queue - warm, with the AI introducing the caller and what it has learned, or straight through when speed matters more.
Calls out, not just in
The same assistant places calls: appointment reminders, confirmations, callbacks from a web form, and follow-ups that would otherwise wait for someone to find time.
Never the busy signal
Concurrent callers are handled by a pool of AI extensions, so two people calling at once does not put either of them on hold.
After the call
Every call transcribed and summarized
Searchable transcripts and short summaries with the action items pulled out, so nobody rebuilds a conversation from memory three days later.
Notes written into your CRM
Call outcome, next steps, and follow-up tasks land on the customer record automatically. The after-call typing simply stops.
Voicemail you can read
Voicemail-to-text and voicemail-to-email with the transcript in the body, so a 90-second message takes five seconds to triage.
Quality and sentiment insight
Review every call instead of the handful someone had time to listen to - flag unhappy callers, missed follow-ups, and real coaching moments.
What people actually call about
Topic and trend reporting across your whole call volume: which questions repeat, which campaigns ring the phone, and where callers give up.
Private where it has to be
For protected conversations - patient, financial, or legal - the speech and language models run on GPU infrastructure Green Line owns and operates, not a public API.

Cloud Phone System
A cloud phone system takes the PBX out of the server closet: your numbers, call flows, and voicemail live in the cloud, and your team answers on desk phones, laptops, or mobiles wherever they work. Opening a location or moving offices never means rewiring - we design, deploy, and manage the whole stack, devices included.
Hosted VoIP
With hosted VoIP, running the platform is our job, not yours. We manage the service, apply the updates, and watch call quality around the clock, while your team simply picks up the phone - with enterprise features like auto attendants, ring groups, and voicemail-to-email at a predictable per-seat price.
Small Business Phone Systems
Small business phone systems should not demand enterprise budgets. We right-size the plan to your team - start with a few lines, keep your existing numbers, add seats as you hire - and back it with the same Cleveland-based support our managed IT clients rely on. When you are ready, we can even wire your calls into your CRM.
Phone System Integrations & Workflows
This is where most phone vendors stop and we start. Green Line runs a full software development practice in-house, so your phone system does not have to be an island - it can read from and write to the systems your business already runs on, and set work in motion the moment a call ends.
CRM & Ticketing
Screen-pop the caller record before you say hello, click-to-dial from anywhere, and log the call, recording, and summary automatically. Salesforce, HubSpot, Zoho, Dynamics, ConnectWise, Autotask, ServiceNow - or the in-house app you already run.
The Systems Your Industry Runs On
EHR and practice management, veterinary PIMS, dealership DMS, POS and online ordering, property management, ERP and dispatch. Callers get appointment, order, and job status from live records instead of waiting for someone to read a screen.
Industries we support ➔Call Flows Built Around Your Business
Routing that follows your rules instead of a vendor template: by customer tier, open ticket, on-call rotation, language, or location - escalating when a queue backs up and failing over when a circuit does.
Workflows That Fire After the Call
The call ends and the work happens on its own: a ticket opens, a follow-up task is assigned, a confirmation text goes out, a dashboard updates. Nobody retypes anything into a second system.
Business process automation ➔APIs, Webhooks & Middleware
When no off-the-shelf connector exists, we build one. Our developers wire phone platforms to line-of-business systems with REST APIs, webhooks, and middleware we maintain and support ourselves.
API & system integration ➔Reporting You Can Act On
Call data joined to sales, ticket, and scheduling data in one place, so "we get a lot of calls" turns into numbers you can staff and budget against.
Custom dashboards & reporting ➔Our Phone Systems
We deploy and manage business phone systems on the 3CX platform, alongside SIP trunking for organizations keeping an existing PBX. It is the same platform our AI receptionist registers against, so AI answering is a configuration change on a system you already run - not a second phone service bolted on beside it.

Hosted PBX Systems
Our hosted PBX solutions provide a cloud-based phone system that eliminates the need for on-premises hardware. Enjoy seamless communication with features like call routing, conferencing, and unified messaging.
SIP Trunking
For businesses looking to integrate VoIP with existing PBX systems, our SIP trunking services offer a cost-effective solution. Benefit from improved call quality and reliability while maintaining your current infrastructure.
Customized VoIP Plans
We understand that every business is unique. Our team works closely with you to develop a customized VoIP plan that aligns with your operational requirements and budget.

Business Phone System Questions
What is an AI receptionist, and will callers know they are talking to one?
An AI receptionist is a voice assistant that answers your business line, holds a natural conversation, and completes real work - booking an appointment, answering a question from your own information, taking a structured message, or transferring to the right person. You decide how it introduces itself; most of our clients have it identify itself as a virtual assistant, and every deployment has explicit rules for handing the call to a human.
Can we keep our existing phone numbers?
Yes. We port your numbers - main lines, direct dials, and toll-free - and run the old and new systems side by side until the port completes, so no call ever rings into a dead line. Porting usually takes two to four weeks depending on your current carrier.
What happens to our phones if the internet goes down?
Because the platform is hosted, your numbers stay reachable even when your office does not. Calls fail over automatically to mobile apps, cell phones, or a second location, and we can add a business-class LTE/5G backup circuit so the office itself stays online through an outage.
Will a new phone system integrate with our CRM or industry software?
Usually yes - and where a native connector does not exist, we build one. Green Line runs a full custom development practice, so phone-system integrations, custom call flows, and post-call automation are in-house work rather than a referral to somebody else.
Do we have to buy new phones?
Not always. Most standards-based SIP handsets can be re-provisioned onto the new platform, and plenty of teams run entirely on softphone apps. Where new hardware makes sense, we deploy and configure Yealink desk phones, conference units, and headsets as part of the project.
Does an AI receptionist replace our phone system?
No - it plugs into it. The assistant registers on your PBX as a real extension and joins your call queues like any other agent, so your numbers, dial plan, handsets, and existing routing all stay exactly as they are. You decide where it sits: answering everything after hours, taking overflow when the queue backs up, or handling one department line while the rest ring your team.
What happens if the AI cannot answer a call?
The call routes the way it always did. If the assistant does not pick up within a few seconds, your phone system moves the caller on to the next agent, the ring group, or voicemail - the same path it would take today. Nothing about your inbound calling depends on the AI being available.
How are business phone systems priced?
Per seat, per month, for the features you actually use, plus a one-time deployment cost covering porting, configuration, and any hardware. AI answering and custom integration work are scoped separately, so you can start with calling and add them when you are ready.
